CONDITIONS OF ENTRY

Effective from 1 July 2025

All persons entering One Raceway, including Pheasant Wood Circuit (collectively, “the Venue”), whether as a participant, spectator, volunteer, staff, contractor, or visitor, do so subject to the following conditions.  Entry constitutes acceptance of these terms and conditions.

WARNING — MOTORSPORT IS DANGEROUS

Motorsport activities carry inherent risks.  By entering the Venue, you acknowledge that serious injury or death may occur and agree to:

  • Attend, enter, or participate entirely at your own risk.
  • Release and indemnify One Raceway Pty Ltd, Pheasant Wood Pty Ltd, sanctioning bodies, event organisers, officials, staff, volunteers, contractors, landowners, sponsors, rescue personnel, and agents (the “Released Parties”) from any and all claims or liabilities arising from injury, loss, damage, illness or death — whether caused by negligence or otherwise, except where precluded by law.
  • Accept that the Released Parties make no warranties regarding the safety, suitability, or performance of any facilities, equipment, services or activities.

WHO THIS APPLIES TO

These Conditions of Entry apply to all individuals, including but not limited to:

  •  Spectators and guests
  •  Drivers, riders, passengers and entrants
  •  Pit crew and team members
  •  Contractors and suppliers
  •  Event staff and volunteers
  •  Media representatives
  •  Any person present for recreational, commercial or personal reasons

No person is exempt from these terms by nature of their role or reason for attendance.

ACCEPTANCE OF RISK

All individuals entering the Venue acknowledge that motorsport activities are inherently high-risk and accept that incidents resulting in injury, damage, or fatality may occur.  These risks may arise from, but are not limited to:

  • Vehicle-to-vehicle contact or loss of control resulting in impact with other people or property;
  • Unexpected actions or unsafe behaviour by others, whether deliberate or accidental;
  • The limitations or failure of safety infrastructure such as barriers, fencing, or designated viewing areas.
  • Flying debris or environmental hazards
  • Exposure to communicable diseases including COVID-19
  • Emergency response activity or high-risk operations

By entering the Venue, you agree that you have considered these risks and accept them willingly.  It remains your responsibility to act with due care and awareness for your own safety and for the safety of any dependents or persons under your supervision

GENERAL CONDITIONS OF ENTRY

To maintain a safe and respectful environment:

  • Management reserves the right to inspect all bags, vehicles, and belongings on entry and exit.
  • Disorderly, offensive, disruptive, or aggressive behaviour will result in removal without refund.
  • All patrons must follow directions issued by One Raceway staff or officials.
  • Entry onto the circuit, restricted operational zones or track infrastructure without authorisation is strictly prohibited.
  • Children under the age of 16 are not permitted in Pit Lane or on the Pit Wall at any time.
  • All minors must be supervised by a responsible adult at all times.
  • Patrons consent to the use of their image, voice or likeness for safety, broadcast or promotional purposes.
  • Property is brought into the Venue at your own risk — the Venue accepts no liability for loss, theft or damage.
  • Management reserves the right to refuse entry or remove any person whose conduct is deemed unsafe, unacceptable, or inconsistent with the values of the Venue — including those acting in a manner commonly understood to be that of a “dickhead.”

PARTICIPANT REQUIREMENTS

Anyone undertaking any activity (driving, riding, officiating) must:

  • Hold the correct licence for that activity
  • Sign the waiver and indemnity form
  • Attend all required briefings
  • Wear the official wristband or venue-issued identification at all times

No person may misrepresent themselves or another individual for the purposes of signing in, obtaining credentials, accessing restricted areas, or participating in any activity. This includes, but is not limited to:

  • Signing in on behalf of someone else
  • Swapping or sharing wristbands or identification
  • Standing in or substituting for another individual without approval

Any breach of these requirements, including misrepresentation or circumvention of official processes, will result in immediate expulsion. At management’s discretion, this may also lead to temporary or permanent exclusion from One Raceway and Pheasant Wood Circuit.

CLEANLINESS AND WASTE RESPONSIBILITIES

All patrons, participants, and visitors are required to maintain a clean and respectful environment at all times.  This includes:

  • Disposing of all rubbish in the bins provided.
  • Ensuring that bins are not used for the disposal of household waste, commercial refuse, car parts, or workshop materials.
  • Cleaning up any spillages immediately, particularly oils, coolants, or other automotive fluids.
  • Taking home all used tyres, car parts, lubricants, containers, and equipment.  These must not be left behind under any circumstance.

Leave the facility in the same condition as you found it. Failure to comply will result in additional charges or refusal of future entry.

WATER CONSERVATION AND SANITARY USE

One Raceway operates entirely off-grid for water services. All water used on-site is rainwater harvested and stored, with no access to town water or sewerage infrastructure. Therefore:

  • All attendees must make every effort to conserve water and avoid unnecessary usage.
  • Vehicle washing using hoses is discouraged.
  • Water from any tap or outlet on site should be treated as non-potable (not for drinking).

In regard to toilet and sanitary use:

  • Only human waste and toilet paper are to be flushed.
  • All other items, including sanitary products, wipes, nappies, or general rubbish must be disposed of in the bins provided.
  • Smoking is strictly prohibited in all toilet facilities.

SMOKING AND VAPING POLICY

One Raceway promotes a clean, healthy, and safe environment for all patrons, staff, and participants. Our strong preference is for the Venue to be a smoke-free environment.

However, if you do choose to smoke or vape, the following rules apply:

  • Smoking or vaping is prohibited on any paved or sealed surface within the Venue.
  • Smoking or vaping is not permitted within 50 metres of any pit garage or carport.
  • Smoking or vaping is not permitted within 25 metres of any office, race administration, or other enclosed structure.
  • All cigarette butts or vaping cartridges must be fully extinguished and disposed of in a bin or taken with you.
  • Dropping cigarette butts on the ground will not be tolerated and may result in immediate removal from the Venue.

Please respect your surroundings, fellow attendees, and the image of the sport by keeping our Venue clean and smoke-conscious.

ELECTRICAL EQUIPMENT AND POWER USAGE

Electrical infrastructure at One Raceway is limited and must be used responsibly to prevent overload.  All patrons and teams are asked to:

  • Minimise electricity consumption wherever possible.
  • Avoid using high-draw appliances such as kettles, toasters, ovens, and heaters unless specifically authorised.
  • Ensure trailers and race support vehicles and equipment operate primarily from battery or generator power.

Power is provided to support essential operations and safety systems.  Excessive or unauthorised usage may lead to disconnection.

NOISE MANAGEMENT AND COMMUNITY RESPECT

  • One Raceway is committed to being a responsible neighbour and acknowledges that motorsport generates significant noise.  To minimise our impact:
  • All vehicles must strictly comply with the facility’s noise restrictions.  Breaches will result in removal of the vehicle from any activity without refund.
  • No engine noise is permitted before 8:00 AM or after 5:00 PM, except where strictly necessary to move a vehicle into or out of the venue, or to and from scrutineering, garages, or carports.  Unnecessary idling, revving, or engine testing during these times is strictly prohibited in all areas including garages, carports, paddock, and car parks.
  • On entering or exiting One Raceway via Braidwood Road, all drivers must:
    • Avoid excessive acceleration or deceleration.
    • Not spin wheels, sound horns, or otherwise operate vehicles in a noisy or anti-social manner.
    • Adhere strictly to the speed limit and treat the public road with respect.

Help us protect the future of One Raceway and circuits like us.  Respect the venue, the local community, and always "do the right thing."

RESTRICTED AND PROHIBITED ITEMS
The following items are prohibited unless express written permission is granted by One Raceway:

  • Glass containers or breakables
  • Alcoholic beverages
  • Illicit substances or paraphernalia
  • Weapons, knives, fireworks, flares or dangerous goods
  • Air horns or excessively loud devices
  • BBQs, gas bottles, or open flames
  • Drones, kites, or unauthorised aerial equipment
  • Spray paint, compressed air cans, or marking devices
  • Animals (excluding certified assistance animals)
  • Scooters, skateboards, rollerblades, or bicycles
  • Scaffolding, ladders, or elevated viewing structures
  • Political, gang-related, or offensive signage, banners or apparel
  • Recording equipment used for unauthorised commercial purposes

Any such items may be removed or confiscated at the discretion of Venue management.

SPECTATOR RESPONSIBILITIES

Spectators are welcome at One Raceway and are expected to enjoy motorsport safely and responsibly.  To ensure their safety and that of others:

  • Spectators must remain behind designated fencing or barriers at all times.  Under no circumstances should any person enter the circuit, pit lane, paddock, or other restricted zones without prior authorisation.
  • Climbing on barriers, fences, or other infrastructure is strictly prohibited.
  • Children must be supervised by a responsible adult at all times.
  • Spectators must not obstruct emergency access routes, pathways, pit lane entries, or any route leading to or from the circuit.  Particular attention must be given to ensuring access is clear at all times near the designated ambulance bay and other critical response zones.  
  • All spectator vehicles must be parked in the designated spectator parking areas only.  Vehicles found outside these areas may be relocated or removed at the owner's expense.  Particular attention must be given to ensuring access is clear at all times near the designated ambulance bay and other critical response zones.
  • Alcohol is not permitted on site, and intoxicated individuals will be removed.
  • Patrons are reminded to wear appropriate clothing and footwear for uneven or rugged ground conditions.
  • Any instruction given by event staff, security, or safety officials must be followed immediately and without argument.
  • Items such as umbrellas, chairs, tents, or any other personal belongings must be securely fastened and must not obstruct circuit operations, interfere with the view of marshals, or pose a risk of entering the circuit under any circumstances.  This includes items that may become airborne, such as umbrellas or drones.  Management may remove or direct the relocation of any items deemed unsafe or disruptive.

Disregard for these requirements may result in removal from the Venue.

UNAUTHORISED ACCESS AND TRESPASSING

Access to the circuit and restricted areas is strictly controlled for safety, compliance, and liability reasons.

Any individual who dishonestly, deliberately, or negligently gains access to any unauthorised area including the circuit, pit lane, marshal posts, control rooms, or other controlled zones without the appropriate permission, consent, permit, signed indemnity, or required documentation is considered to be trespassing.

This includes:

  • Driving or operating a vehicle on the circuit without authorisation
  • Bypassing check-in or sign-on procedures
  • Entering areas beyond fences, signage, or designated spectator zones
  • Circumventing safety systems, gates, or marshals

Such actions will result in immediate removal from the Venue and may lead to police referral, a formal trespass notice, or a permanent ban from One Raceway and Pheasant Wood Circuit.

Visitors or guests staying in the cabins are strictly forbidden from accessing any part of the circuit or associated operational areas at any time, including outside of event hours. This restriction applies whether on foot, by bicycle, scooter, or any type of vehicle. Access is only permitted with the express written approval of management.

PETS AND PERSONAL TRANSPORT DEVICES

To ensure a safe and orderly environment:

  • Pets and Animals: No dogs or other animals are permitted on site, including in paddocks, spectator areas, and campgrounds.  Only certified assistance animals are exempt from this policy.
  • Scooters, Skateboards, and Similar Devices: The use of scooters, skateboards, rollerblades, or similar recreational devices is not permitted anywhere within the Venue unless specifically authorised for official use.   This restriction does not apply to mobility devices used by individuals with a disability or medical condition requiring assisted movement.
  • Bicycles: Where bicycles are permitted, they must be pedal-powered only, ridden with a helmet, and operated with due caution.  Riders must remain aware of moving vehicles, pedestrians, and blind zones such as garage exits and carports.

PEDESTRIAN AND VEHICLE MOVEMENT IN SHARED ZONES

The paddock and pit areas are mixed-use zones where both foot traffic and vehicles are present.  To minimise risk:

  • Pedestrians must remain alert to moving vehicles and avoid loitering in roadways, access lanes, or blind zones.
  • Vehicles operating in paddocks, pit lanes, or shared accessways must do so at walking pace at all times.
  • Drivers must proceed cautiously and yield to pedestrians and foot traffic around garages, carports, scrutineering, and high-footfall areas.

SURVEILLANCE AND MONITORING

The Venue is under constant video and audio surveillance. Number plate and facial recognition technologies may be in use. Data may be shared with authorities for regulatory or security purposes.

ALCOHOL AND LICENSING

One Raceway is not currently licensed for the sale or service of alcohol. As such alcohol must not be consumed within the main operational areas of the Venue during event hours.

Management reserves the right to inspect, confiscate, or request the removal of alcohol where it poses a risk to safety, compliance, or the enjoyment of others.

This policy is subject to review should a liquor licence or event-specific exemption be granted.

RESTRICTED AREAS

Entry to operational and high-risk areas (e.g.  track surface, pit lane, race control, marshalling zones) is limited to authorised individuals only.

All authorised individuals must:

  •  Sign the relevant waiver of liability;
  •  Comply with directions and safety procedures at all times;
  •  Immediately report any unsafe conditions to staff.

No internal gates may be opened, moved through, or tampered with without explicit permission from management.

SEVERABILITY

If any section of these conditions is found to be invalid or unenforceable under law, the remaining provisions shall continue to apply in full force.

GOVERNING LAW

These conditions are governed by the laws of New South Wales, including the Civil Liability Act 2002 and Competition and Consumer Act 2010, where applicable.

‍

Entry is a privilege, not a right. If you cannot comply with these conditions, you must not enter the Venue.
